General

What is VDP?

The Vadzo Delivery Portal (VDP) is a secure platform that Vadzo uses to deliver documents to its customers. Vadzo employees share files from VSpace, each share is reviewed through an approval workflow, and customers access the approved files through the Customer Portal.

What is the difference between the Admin Portal and the Customer Portal?

The Admin Portal is used by Vadzo employees to manage customers, share files, review approvals and administer VDP. The Customer Portal is used by customer users to view, preview and download the files shared with them. VDP opens the appropriate portal when you sign in. See Overview.

Signing in

I am a Vadzo employee, but the sign-in page shows "Send OTP" instead of "Login with SSO".

Your email address is not on an approved company domain. Check that you entered your work email address correctly. If the problem continues, contact your administrator.

I see the message "No account found for this email". What should I do?

Admin Portal users: you must be invited by an administrator before you can sign in. Customer users: your company may not yet be approved, or your access may have been removed. Contact your administrator or your Vadzo representative.

My invitation has expired.

Invitations are valid for 3 days. Ask your administrator to send a new invitation.

My verification code expired before I could use it.

Verification codes are valid for a short time only. When the countdown ends, click Resend OTP and enter the new code promptly.

The Microsoft sign-in window does not open.

Your browser may be blocking pop-up windows. Allow pop-ups for the VDP site and try again.

Customers and approvals

Why is a new customer still shown as Pending?

A new customer remains pending until every level of the selected approval workflow has approved it. You can follow its progress on the Approvals page.

Do Super Admins need approval?

Yes. All customer changes and file shares require approval, regardless of role. A Super Admin can use Approve All Levels to approve all remaining levels of a request in a single action.

Why can't I edit a customer?

Only one change can be pending for a customer at a time. Wait until the current request has been approved or rejected.

Why can't I remove a user?

A user who is an approver or reviewer in an approval workflow or a pending request cannot be removed. You also cannot remove your own account, and an Admin cannot remove a Super Admin. Replace the user in those places first; the removal dialog lists where this is required.

Sharing files

Can I share a file directly from my computer?

No. Files are shared from VSpace only. Add the file to VSpace, then share it using Share Now.

I shared files, but the customer cannot see them.

Files become visible to customers only after every approval level has approved them. Check the status of the request on the Approvals page. Rejected files are not delivered.

A file was rejected automatically by "System". Why?

The file was moved to trash or deleted in VSpace while its approval was pending. Restore the file in VSpace and share it again.

If a delivered file is deleted from VSpace, does the customer lose access?

No. Delivered files remain available to the customer until they are revoked.

How do I withdraw a file from a customer?

Use Revoke on the Shared Master page or on the customer's Shared tab. Revocations are subject to approval. See Shared Master & Revoke.

Customer Portal

Can I upload or delete files?

No. The Customer Portal is designed for viewing, organizing and downloading files. If a change is required, contact Vadzo through Support.

Why can't I preview a file?

In-browser preview is available for common image, PDF, video, text and CSV files. Download other file types to open them on your device.

Can other users see my favorites and tags?

No. Favorites and tags are personal to your account.
